Retention

We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes, and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable time. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations.

Lumera Journeys – Payment Terms & Conditions

Effective Date: June, 1st 2026

These Payment Terms & Conditions (“Agreement”) govern all travel planning, booking, reservation, and related services provided by Lumera Journeys (“Agency,” “we,” “us,” or “our”). By submitting payment, signing a travel agreement, or authorizing Lumera Journeys to make travel arrangements on your behalf, you (“Traveler,” “Client,” or “you”) acknowledge that you have read, understood, and agree to these terms.


1. Professional Service Fees

Lumera Journeys provides professional travel planning, research, itinerary design, booking assistance, supplier coordination, concierge services, and travel support.

Any planning fees, consultation fees, itinerary design fees, booking fees, concierge fees, or other professional service charges are compensation for the Agency’s time and expertise.

These professional service fees are completely separate from the cost of airfare, hotels, cruises, tours, transportation, vacation packages, insurance, or other travel products purchased from third-party suppliers.

Unless otherwise stated in writing:

  • Professional service fees become earned immediately once work begins.
  • Professional service fees are non-refundable under all circumstances.
  • Professional service fees remain due even if:

  • the traveler cancels;
  • the supplier cancels;
  • the traveler changes travel dates;
  • the traveler decides not to travel;
  • visas are denied;
  • border restrictions occur;
  • illness prevents travel;
  • weather impacts travel;
  • the traveler books elsewhere after planning work has begun.

No refunds will be issued for time already spent researching, planning, communicating with suppliers, preparing itineraries, or managing reservations.


2. Deposits and Payments

A deposit may be required to begin booking travel.

Payment schedules are determined by each individual supplier.

Failure to make payments by supplier deadlines may result in:

  • cancellation of reservations;
  • loss of deposits;
  • increased pricing;
  • supplier-imposed penalties;
  • complete forfeiture of the reservation.

Lumera Journeys is not responsible for missed payment deadlines.

The traveler is solely responsible for ensuring payments are made before supplier due dates.


3. Supplier Terms and Conditions

Lumera Journeys acts solely as an independent travel advisor and intermediary between travelers and third-party travel suppliers.

These suppliers include, but are not limited to:

  • airlines
  • hotels
  • resorts
  • cruise lines
  • vacation package providers
  • rail companies
  • transportation providers
  • tour operators
  • excursion companies
  • insurance providers

Each supplier maintains its own:

  • cancellation policies;
  • refund rules;
  • change fees;
  • baggage policies;
  • travel requirements;
  • operational procedures;
  • force majeure policies.

By booking through Lumera Journeys, the traveler expressly agrees to be bound by the terms and conditions of every supplier involved in the booking.

Lumera Journeys does not create, modify, or control supplier policies.

The Agency has no authority to override supplier decisions regarding:

  • refunds;
  • cancellations;
  • schedule changes;
  • denied boarding;
  • overbooking;
  • delays;
  • supplier insolvency;
  • weather disruptions;
  • labor strikes;
  • mechanical failures;
  • government restrictions.

Any refund eligibility is determined solely by the supplier.


4. Prices Are Not Guaranteed

Travel prices are dynamic.

Quoted prices are estimates only and may change without notice until the supplier issues a final booking confirmation and payment has been successfully processed.

Prices may increase due to:

  • supplier pricing updates;
  • airfare changes;
  • hotel inventory fluctuations;
  • cruise pricing adjustments;
  • taxes;
  • fuel surcharges;
  • government fees;
  • currency exchange rate fluctuations;
  • limited availability.

Lumera Journeys cannot guarantee pricing until confirmed by the supplier.

If supplier pricing changes before confirmation, the traveler is responsible for paying any increase or may decline to proceed with the booking.


5. Currency Exchange Fluctuations

Many travel suppliers charge in foreign currencies.

The traveler understands and agrees that:

  • exchange rates may fluctuate;
  • banks and credit card companies determine conversion rates;
  • foreign transaction fees may apply;
  • the final amount charged may differ from quoted estimates.

Lumera Journeys is not responsible for exchange rate differences or foreign transaction fees.


6. Supplier Cancellations and Service Interruptions

Lumera Journeys is not responsible for acts, omissions, or failures of third-party suppliers.

This includes, but is not limited to:

  • airline cancellations;
  • hotel closures;
  • cruise itinerary changes;
  • supplier bankruptcy;
  • strikes;
  • weather events;
  • natural disasters;
  • political unrest;
  • pandemics;
  • mechanical issues;
  • schedule changes;
  • overbooking.

Should a supplier cancel or fail to provide services, any refund, credit, voucher, or compensation is solely governed by that supplier’s policies.

Lumera Journeys cannot guarantee refunds from suppliers.


7. Chargeback Agreement

The traveler acknowledges that Lumera Journeys acts solely as an intermediary for third-party suppliers.

The traveler agrees not to initiate a credit card chargeback, payment dispute, or payment reversal against Lumera Journeys for circumstances involving:

  • supplier cancellation;
  • supplier delays;
  • schedule changes;
  • denied boarding;
  • weather disruptions;
  • hotel disputes;
  • airline service failures;
  • cruise changes;
  • tour cancellations;
  • acts of government;
  • force majeure events;
  • supplier bankruptcy;
  • any failure by a third-party supplier to perform services.

The traveler agrees that any request for refunds related to supplier services must first be pursued through:

  1. the applicable travel supplier;
  2. any available travel insurance policy; or
  3. other remedies available under the supplier’s terms.

This provision does not limit the traveler’s legal rights regarding legitimate disputes over services actually provided by Lumera Journeys or applicable consumer protection laws.

The traveler understands that filing an improper chargeback for services properly rendered by Lumera Journeys may constitute a breach of this Agreement, and Lumera Journeys reserves the right to recover any resulting fees, costs, or attorney’s fees where permitted by law.


8. Travel Insurance Acknowledgment

Travel insurance is strongly recommended for every traveler.

Travel insurance may provide coverage for:

  • trip cancellation;
  • trip interruption;
  • emergency medical expenses;
  • emergency evacuation;
  • baggage loss;
  • baggage delay;
  • travel delays;
  • missed connections;
  • supplier insolvency (where covered);
  • unforeseen emergencies.

The traveler understands that unexpected events may result in significant financial loss if travel insurance is declined. If the traveler declines travel insurance, the traveler acknowledges that:

  • Lumera Journeys recommended travel insurance;
  • the traveler understands the financial risks of traveling uninsured;
  • Lumera Journeys shall not be liable for any financial losses arising from cancellation, illness, injury, medical emergencies, weather, travel interruptions, or supplier default.


9. Refund Policy

Refunds are subject exclusively to supplier policies.

Professional service fees paid to Lumera Journeys are non-refundable.

Where suppliers approve refunds:

  • processing times are determined solely by the supplier;
  • banks may require additional processing time;
  • Lumera Journeys cannot expedite supplier refunds.

The Agency makes no guarantees regarding supplier refund approval or timing.


10. Credit Card Authorization

By providing payment information, the traveler certifies that:

  • they are the authorized cardholder;
  • they authorize Lumera Journeys to process approved travel-related charges;
  • they understand supplier charges may appear separately from Agency service fees;
  • they agree to all supplier and Agency payment terms.


11. Changes Requested After Booking

Changes requested after booking may result in:

  • supplier change fees;
  • fare differences;
  • hotel rate increases;
  • Agency administrative fees.

All change requests are subject to supplier availability.


12. No Agency Liability

Lumera Journeys shall not be liable for losses resulting from:

  • acts or omissions of suppliers;
  • missed flights;
  • missed connections;
  • schedule changes;
  • weather events;
  • natural disasters;
  • pandemics;
  • border closures;
  • government actions;
  • terrorism;
  • strikes;
  • mechanical failures;
  • civil unrest;
  • denied entry;
  • passport or visa issues;
  • medical emergencies;
  • lost baggage;
  • theft;
  • traveler negligence.

The traveler assumes responsibility for complying with all travel documentation, health, passport, visa, customs, and entry requirements.


13. Acceptance of Terms

By signing below, making payment, or authorizing Lumera Journeys to book travel, the traveler acknowledges that they:

  • have read these Payment Terms & Conditions;
  • understand all provisions;
  • agree to be bound by these terms;
  • agree to all applicable supplier terms and conditions;
  • understand that professional service fees are non-refundable;
  • understand that travel prices may change until confirmed;
  • acknowledge the recommendation of travel insurance;
  • agree to seek supplier remedies before initiating any payment dispute related to supplier services.
